Activity Feed and Audit Trail

The activity feed and audit trail give you visibility into what's happening across your account. The activity feed shows a chronological log of actions — who did what and when — while the revision history provides a detailed record of exactly which fields were changed on a record.

Getting There

The activity feed appears in several places:

  • Dashboard — Your personal activity feed showing your recent actions.
  • Event detail page — Activity related to a specific event.
  • Account detail page — Activity related to a specific account.
  • Task detail page — Activity related to a specific task.
  • User profile page — All activity by a specific team member.

The revision history (detailed field-level changes) is available via the View changes link on individual records such as events, accounts, contacts, notes, invoices, and more.

Activity Feed

What Gets Logged

The activity feed automatically records actions performed by your team, including:

  • Creating records — e.g. "Jane created Task: Send invoice to client"
  • Updating records — e.g. "John updated Event: Summer Gala 2025"
  • Completing tasks — e.g. "Jane completed Task: Confirm venue booking"
  • Assigning tasks — e.g. "John assigned Task: Review quote to Jane"
  • Financial actions — Creating or updating invoices, credit notes, costs, and purchase orders

How It Looks

Each entry in the activity feed shows:

  • Who — The team member's profile picture and name (clickable to view their profile).
  • What — A description of the action, e.g. "created", "updated", "completed", "assigned".
  • Which record — The name of the record that was acted on (clickable to open it).
  • To whom — If the action involves another person (e.g. assigning a task), their name appears too.
  • When — A relative timestamp (e.g. "2 hours ago") and the full date and time.
  • Details — Some actions include additional content, such as a task description, shown in a highlighted box below the entry.

Where to Find Activity

Dashboard

Your dashboard shows your most recent activity, giving you a quick recap of your recent actions when you first log in.

Event Detail Page

The activity feed on an event shows everything that's happened on that event — tasks created, costs added, invoices generated, notes updated, and more. This gives you a complete timeline of the event's history.

Account Detail Page

The activity feed on an account shows all actions related to that account, helping you track the relationship history.

Task Detail Page

When you open a task, the activity panel shows when the task was created, any updates made, and when it was completed.

User Profile

Each user's profile page shows their personal activity feed, which is useful for reviewing what a team member has been working on.

Revision History (Audit Trail)

The revision history goes deeper than the activity feed. While the activity feed tells you "Jane updated Event: Summer Gala", the revision history tells you exactly which fields changed, what the old values were, and what the new values are.

What It Tracks

The revision history tracks field-level changes on:

  • Events
  • Accounts
  • Contacts
  • Notes
  • Invoices
  • Credit notes
  • Purchase orders
  • Quotes
  • Resources

Viewing Revision History

    • Open the record you want to audit (e.g. an event, note, or invoice).
    • Look for the View changes link.
    • Click it to see a chronological list of every field-level change.

Each revision entry shows:

  • Who made the change
  • When the change was made
  • Which field was changed
  • Old value — what the field contained before
  • New value — what the field was changed to
Note: The View changes link is only visible to users who have the "View revisions" permission. If you don't see this link, contact your administrator to request access.

Tips & Best Practices

Tip: Check the activity feed on an event before a client meeting to quickly catch up on everything that's happened since you last looked.
Tip: Use the revision history to resolve any questions about when or why a record was changed. This is especially useful for financial records like invoices and quotes.
Tip: Review a team member's activity from their user profile to see their recent contributions and workload.

Frequently Asked Questions

Q: Can I delete or edit activity feed entries?

No. The activity feed is a read-only log of actions. Entries cannot be modified or removed, which ensures the integrity of your audit trail.

Q: How far back does the activity feed go?

The activity feed retains all historical entries. However, the display is limited to the most recent entries on each page. Older activity remains stored and accessible.

Q: Who can see the activity feed?

All team members can see the activity feed on records they have access to. The revision history (View changes) requires the "View revisions" permission.

Q: Does the activity feed show who deleted a record?

The activity feed logs creation and update actions. Deletions may not always appear in the activity feed, but the revision history captures field-level changes up to the point of deletion.

Q: Is the activity feed the same as the revision history?

No. The activity feed provides a high-level summary of actions (e.g. "Jane updated the event"), while the revision history shows the exact details of what changed (e.g. "Status changed from Tentative to Confirmed"). They complement each other — the activity feed for quick context, and the revision history for detailed auditing.
