Change a user's level of access
EventWorks allows you to completely control which actions every user on the site has access to. The differing levels of permissions are easily grouped into presets called Roles. Using these roles you can quickly and easily assign a new user specific privileges.
An example of using the roles would be to set one up called Standard user. You would link permissions such as View events, View reports, and Export data to this role. Any user that doesn't require permissions beyond that can be allocated the Standard user role when their profile is created and have these three permissions assigned to them.
Select the settings cog at the top right of EventWorks.
From the dropdown select General Settings.
[Update once Roles and Permissions update is complete]
Once you have create a Role you can assign it to any user using the steps below:
Select Staff from the navigation menu on the left and select Users.
Search for the user you would like to amend permissions for and select them.
Select the Edit button along the top of the users profile.
Scrolling down will show the allocated Roles and Abilities for this user. You will see the default Roles as well as any that you have created. You can apply these roles to the user by simply ticking the desired box.
Finally, press Save at the bottom of the page.
Abilities are the individual permissions that can be assigned to a profile. When a role is assigned to a user then the abilities relating to that role are automatically ticked. You are also able to add or remove the individual permissions to give you full control of every user's access to EventWorks.
To amend a users Abilities :
Select Staff from the navigation menu on the left and select Users.
Search for the user you would like to amend and select them.
Select the Edit button along the top of the users profile.
Scrolling down will show the allocated Roles and Abilities for this user. Tick or untick the various Abilities to amend the permissions for the user.
Finally, press Save at the bottom of the page.
Below is a list of the Abilities that you can assign to a user and their function :
View Events : Allows the user to view events that have been created.
Create Events : Allows the user to create events.
Edit events : Allows the user to edit any events that have been created including past events.
View reports : Allows the user to view reports from the reporting dashboard.
Create reports : Allows the user to create reports from the reporting dashboard.
Edit reports : Allows the user to edit reports and its parameters.
Void invoices : Allows the user to set an invoice as Void, irrespective of its current status.
Edit resources : Allows the user to both create and edit resources.
Edit packages : Allows the user to both create and edit packages.
Edit roles : Allows the user to create new roles as well as edit existing roles and their permission levels.
Edit other users : Allows the user to amend another users profile. This does not include amending their Roles or Abilities.
Create users : Allows the user to create a new user. If the user creating the new profile doesn't have the Ability to assign permissions, the new profile will be given no abilities.
Export data : Allows the user to export data from EventWorks such as quotes and costs.
Edit event code : This allows the user to specify the event codes assigned to events.
Set default dashboard : Allows the user to allocate a dashboard to be a default dashboard for new/all users.
Assign permissions : Allows the user to dictate the level of access another user has to the site via Abilities.
Edit Settings : Allows the user to customise all entries in the System Settings such as General Settings and Integration options.
