Reported values

EventWorks has two main categories for events: Leads and Contracted Events.  Whether an event is considered a Lead or a Contracted Event is dictated by the status you set for the event.  Assuming that you have not amended the default statuses (New, Warm, Hot, Contracted, and Closed), an event is classified as a Lead if the status is set to New, Warm, or Hot.  An event is considered a Contracted Event if the status is set to Contracted or Closed.

This is important as this affects where the financial figures are pulled from and ultimately displayed.

Leads

If the event is a Lead, the gross profit and net sales are taken from the Estimated profit and Estimated price fields that can be found on the Financial tab when editing an event.

When building a quote and marking it as sent, you are given the option of updating these figures with the values from your quote.

You can also click the Update estimated profit button when viewing any quote to update these values.

Contracted Events

The value of contracted events is taken from the Costs tab. Whenever a change is made to a line in your budget, the values for the event are also recalculated.

If you have not entered anything in the costs tab, the reported values will revert back to the estimated figures as though the event is a lead.
