Managing Your Profile
Your profile is where you manage your personal details, password, profile image, and notification preferences. Keeping your profile up to date ensures your colleagues can easily reach you and that you receive the right notifications about events and tasks.
Getting There
There are two ways to access your profile:
- Top-right cog menu — Click the cog icon in the top-right corner of any page, then select Profile under the "User settings" heading.
- Sidebar — Click your name at the top of the left-hand sidebar to open a dropdown, then select Profile.
Both options take you to the same profile page.
Overview
Your profile page shows all of your personal information at a glance. On the left you'll see:
- Your profile image (or your initials in a coloured circle if no image has been set)
- Your name, title, email, phone, mobile, and Twitter link
- Your team membership
- Your bio
- Your assigned roles and abilities (permissions)
- Your notification preferences
- Your outstanding tasks
- Your API token (if one has been generated)
On the right, the page displays a feed of your recent activity within EventWorks — records you've created, updated, or interacted with.
Updating Your Details
To edit your profile information:
- Navigate to your profile page (see "Getting There" above).
- Click the Edit button in the top-right corner of the page.
- Update any of the following fields:
- Click Save at the bottom of the page.
Note: If you change your email address, make sure you use the new address the next time you sign in.
Updating Your Profile Image
You can add or change your profile image from the edit page:
- On the edit form, scroll to the Image field.
- Click Select image to open the media library.
- Choose an existing image from the library, or upload a new one by dragging and dropping a file into the upload area.
- Click Save to apply the change.
If you don't set a profile image, EventWorks will display your initials in a coloured circle instead. The colour is generated automatically from your name.
Tip: Use a clear, recognisable photo so your colleagues can easily identify you across the platform — your profile image appears in the sidebar, activity feeds, and task lists.
Changing Your Password
Your password is updated from the same edit page as your other profile details — there is no separate password change screen.
- Navigate to your profile and click Edit.
- Scroll to the Password field and enter your new password.
- Enter the same password again in the Confirm Password field.
- Click Save.
Tip: Choose a strong password that combines letters, numbers, and symbols. Avoid reusing passwords from other services.
Note: If you leave the password fields blank, your existing password will remain unchanged. You only need to fill these in when you want to set a new password.

Notification Preferences
EventWorks can send you notifications for various types of activity. You can choose which notifications you want to receive from your profile edit page.
- Navigate to your profile and click Edit.
- Scroll to the Notifications section at the bottom of the form.
- Tick the checkbox next to each notification type you'd like to receive, and untick any you'd prefer not to get. Common notification types include:
- Click Save.
Tip: Review your notification preferences periodically. As your role changes, you may want to adjust which types of activity you're notified about.
Roles and Abilities
Your profile page displays your assigned roles and abilities, which determine what you can access and do within EventWorks. These are set by your account administrator and cannot be changed from your own profile.
- Roles define a collection of permissions (e.g. "Admin", "Manager", "Coordinator").
- Abilities are individual permissions that control access to specific features (e.g. "view reports", "edit packages", "export data").
If you believe your permissions need updating, contact your administrator.
API Token
If an API token has been generated for your account, it will appear at the bottom of your profile page. You can copy it using the copy button next to the token value.
API tokens are used for programmatic access to EventWorks — for example, when connecting external tools or subscribing to calendar feeds.
Note: Your API token is only visible to you (and support staff). Treat it like a password — do not share it with others.

Tip: Keep your phone and mobile numbers current so colleagues and the system can reach you when needed.
Tip: Add a short bio to your profile so team members — especially new starters — know who you are and what you do.
Tip: If your organisation uses Google sign-in, make sure your EventWorks email matches your Google account email for seamless access.
Tip: Enable the Daily task summary notification to get a convenient morning overview of everything due that day.
Frequently Asked Questions
Q: Can I change my own email address?Yes. Edit your profile and update the Email field. Remember to use your new email address the next time you log in.
Q: I don't see the Roles or Abilities section on the edit form. Why?Roles and abilities can only be edited by users with the "assign permissions" permission (typically administrators). You can see your current roles and abilities displayed on the profile view page, but the edit form will only show those fields if you have permission to assign them.
Q: How do I change my profile image to show my initials instead?If you remove the image from your profile (or never set one), EventWorks automatically displays your initials in a coloured circle.
Q: I changed my password but now I can't sign in. What should I do?Make sure you're entering the new password exactly as you set it — passwords are case-sensitive. If you're still locked out, use the I forgot my password link on the login page to reset it. See Logging In for step-by-step instructions.
Q: What notifications can I opt into?The available notification types depend on how your organisation has configured EventWorks. Common examples include notifications for contracted events, task assignments, task completions, daily task summaries, invoice authorisations, and data exports.
