Account Types and Hierarchy
Account types help you classify and organise your accounts so you can easily filter and find the organisations you need. You can also link accounts in a parent/child hierarchy to represent organisational structures.
Getting There
To manage account types and related classification settings:
Settings > Accounts > TypesNote: You need the Edit settings permission to manage account types and other classification settings.
Key Concepts
Account Types
Account types are customisable labels you assign to accounts to classify them. An account can have multiple types at the same time — for example, an organisation might be both a "Client" and a "Venue".
Types appear as a multi-select dropdown when creating or editing an account, and are displayed in the Type column on the accounts list.
Built-in Category Flags
In addition to your custom types, accounts have built-in category flags that power the main navigation tabs:
- Client — Appears in the Clients tab on the accounts list
- Supplier — Appears in the Suppliers tab on the accounts list
- Venue — Marks the account as a venue (enables the Venue Events tab on the account dashboard)
These flags work alongside your custom types. For example, you might flag an account as a "Supplier" and also assign it a custom type of "AV Equipment" for more specific classification.
Managing Account Types
Viewing Types
Go to Settings > Accounts > Types to see all your configured account types.
Creating a Type
- Go to Settings > Accounts > Types
- Click Create
- Enter the type name
- Click Save
The new type will immediately be available in the type dropdown on all account forms.
Editing a Type
- Go to Settings > Accounts > Types
- Click the type you want to rename
- Update the name
- Click Save
Note: Renaming a type updates it everywhere — all accounts that had the old type name will now show the new name.
Deleting a Type
- Go to Settings > Accounts > Types
- Click the type you want to remove
- Click Delete
Warning: Deleting a type removes it from all accounts that currently have it assigned. This does not delete the accounts themselves.
Other Classification Settings
Beyond types, there are several other ways to classify accounts:
Industry Types
Industry types let you categorise accounts by their business sector (e.g. "Technology", "Healthcare", "Education"). Industry types support a hierarchical structure, so you can create parent and child industry types for more granular classification.
Manage industry types at Settings > Accounts > Industry Types.
Sources
Sources track how you acquired an account — for example, "Website", "Referral", "Trade Show", or "Cold Call". Sources also support a hierarchical structure.
Manage sources at Settings > Accounts > Sources.
Mediums
Mediums record the marketing channel through which an account was acquired — for example, "Email", "Social Media", or "Direct".
Manage mediums at Settings > Accounts > Mediums.
Supplier Types
Supplier types classify what kind of supplier an account is — for example, "AV", "Catering", "Lighting", or "Staging". These are shared with the cost types used in event budgeting, so the same categories appear in both places.
Note: Depending on your settings, selecting a supplier type may be required when creating a supplier account.
Account Hierarchy
Accounts can be organised into parent/child relationships to represent organisational structures.
How It Works
- Any account can be set as a parent of another account
- An account with a parent is called a sub-account
- There is no limit to the number of sub-accounts a parent can have
- Sub-accounts cannot themselves be selected as parent accounts (this prevents circular references)
Setting Up a Hierarchy
When creating or editing an account:
- Find the Parent account field
- Use the search to find and select the parent account
- Click Save
The relationship will be visible on both accounts' dashboards:
- The child account shows a Parent account card with a link to the parent
- The parent account shows a Sub-accounts card listing all its children
Use Cases
Account hierarchy is useful for representing:
- A head office with regional branches
- A parent company with subsidiary brands
- A venue group with individual venue locations
- A corporate client with multiple departments
Removing a Parent Link
To remove an account from a hierarchy:
- Edit the sub-account
- Clear the Parent account field
- Click Save
The account will become a standalone account again.
Using Types for Filtering
Once your accounts are classified, you can take advantage of types throughout the application:
- Accounts list — Filter by type using the type dropdown in the filters panel
- Type tabs — Switch between All, Clients, and Suppliers views
- Reports — Filter reports by account type
- Exports — Exported account data includes the type column
Tips & Best Practices
Tip: Keep your type list manageable. A small number of clear, distinct types is easier to work with than a long list of overlapping categories.
Tip: Use industry types for sector-level classification and account types for relationship-level classification. For example, "Client" is a type (your relationship with them) while "Healthcare" is an industry type (what they do).
Tip: Sources and mediums are valuable for tracking where your business comes from. Consistently filling these in when creating accounts helps with reporting.
