Account Invoices

The account invoices tab gives you a complete view of all invoices raised for a specific account. This is useful for reviewing an account's financial history, checking outstanding balances, and following up on overdue payments.

Getting There

    • Click Accounts in the main sidebar
    • Click on an account name to open the account dashboard
    • Click the Invoices tab

Overview

The invoices tab displays a paginated table of all invoices belonging to the selected account. Each invoice is shown with comprehensive financial details so you can quickly assess the account's billing status.

Invoice Table Columns

Column Sortable Description
Number Yes The invoice number
Event code No The code of the event this invoice relates to
To Yes The account the invoice is addressed to
Event Yes The event name (click to open the invoice)
Date Yes The date the invoice was raised
Due date Yes The date payment is due
Subtotal Yes The pre-tax amount
Total Yes The total amount including tax
Amount paid Yes How much has been paid so far
Amount due Yes The remaining balance
Status Yes The current invoice status

If the Xero integration is enabled, additional columns appear:


  • Xero link — A direct link to the invoice in Xero

  • Errors — An icon indicating any sync errors

Visual Indicators

The invoice table uses colour coding to help you quickly spot items that need attention:

  • Red highlight — An authorised invoice that is past its due date with an amount still owing. This needs follow-up.
  • Green highlight — A fully paid invoice with no amount due.

Sorting

Click any sortable column heading to sort the table by that column. Click again to reverse the sort order. This is useful for finding the most recent invoices, the largest outstanding amounts, or invoices due soonest.

Filtering

The invoices tab includes a filter panel that lets you narrow the list by invoice status, date ranges, and other criteria.

Understanding Invoice Statuses

Invoices move through different statuses as they progress:

  • Draft — Created but not yet sent
  • Authorised — Approved and ready for payment
  • Paid — Fully paid
  • Voided — Cancelled
Note: Invoices are created and managed from within individual events. The account invoices tab is a read-only view that aggregates all invoices for the account in one place. To create or edit an invoice, go to the relevant event.

Tips & Best Practices

Tip: Sort by Amount due (descending) to quickly find invoices with the largest outstanding balances.
Tip: Sort by Due date to identify invoices that are approaching or past their payment deadline — red-highlighted rows indicate overdue invoices that need attention.
