Task Views

EventWorks gives you several ways to view and manage your tasks — from a global list of everything across your account, to focused views within individual events, accounts, and contacts. You can also see tasks on your calendar and dashboard.

Getting There

  • Global tasks list — Click Tasks in the main sidebar navigation.
  • Event tasks — Open an event, then click the Tasks tab.
  • Account tasks — Open an account, then click the Tasks tab.
  • Contact tasks — Open an account, select a contact, then view their tasks.
  • Calendar — Open the Diary from the sidebar to see tasks alongside your events.
  • Dashboard — Add a Tasks widget to your dashboard for an at-a-glance view.

Global Tasks List

The global tasks list at Tasks in the sidebar shows all tasks across your entire account. This is the most comprehensive view and gives you access to all filtering and sorting options.

Filtering Tasks

Use the filter options to narrow down the tasks list:

Filter What it does
Status Show only Incomplete or Complete tasks
Type Filter by task type (e.g. Phone Call, Email, Invoice)
Priority Filter by urgency level (Highest, High, Medium, Low)
Assignee Show tasks assigned to specific team members
Team Show tasks belonging to specific teams
Creator Show tasks created by a specific person
Due Date Filter by a date range for when tasks are due
Created Date Filter by when tasks were created
Completed Date Filter by when tasks were completed
Search Free-text search across task titles, descriptions, and assignee names

Sorting Tasks

Click on column headers to sort the task list. You can sort by:

  • Title — Alphabetical order
  • Due Date — When tasks are due
  • Created Date — When tasks were created
  • Completed Date — When tasks were finished
  • Type — Task type
  • Priority — Urgency level

By default, tasks are sorted with incomplete tasks first, then by due date, and then by priority — so your most urgent outstanding work appears at the top.

Exporting Tasks

Click Export to download the current filtered list as a spreadsheet (XLS). The export includes all visible columns: Created By, Assigned To, Title, Due Date, Type, Status, Completed Date, Context, and Priority.

Event Tasks

When viewing an event, the Tasks tab shows only tasks linked to that event. This gives you a focused view of everything that needs to happen for a specific event.

  • All the same filtering and sorting options are available.
  • Creating a task from this view automatically links it to the event.
  • You can export just the event's tasks using the Export button.
  • The task detail page shows a link back to the parent event under the task's context.

Account Tasks

The Tasks tab on an account shows tasks linked to that account. This is useful for tracking follow-ups, onboarding activities, or any work related to a specific client or supplier.

  • Creating a task from this view automatically links it to the account.
  • You can export just the account's tasks.
  • Filtering and sorting work the same way as the global list.

Contact Tasks

Tasks can also be linked to individual contacts within an account. Navigate to an account, select a contact, and you'll find their associated tasks. This is helpful for tracking specific follow-ups with a particular person.

Calendar View

Tasks with due dates appear on the Diary calendar alongside your events. Each task is displayed as a calendar entry, colour-coded by its priority level:

Only incomplete tasks are shown on the calendar. Click on a task in the calendar to view its details in a popup.

Dashboard Widget

You can add a Tasks widget to your dashboard for a quick overview of your most important tasks. The widget is configurable with these options:

  • Status filter — Show incomplete, complete, or all tasks.
  • Date range — Limit to tasks due within a specific period.
  • My tasks only — Toggle to show only tasks assigned to you.
  • Assignees — Filter by specific assignees.
  • Assigned by — Filter by who created/assigned the task.
  • Type — Filter by task type.
  • Priority — Filter by priority level.
  • Limit — Set the maximum number of tasks to display.

To add the widget, enter dashboard edit mode and select Tasks from the widget options.

Header Task Indicator

The top navigation bar includes a task indicator showing the number of incomplete tasks assigned to you. Click the indicator to see a dropdown list of your outstanding tasks, with quick links to each one. This is the fastest way to check what you need to do without navigating away from your current page.

Tips & Best Practices

Tip: Use the global tasks list with the Assignee filter set to yourself to see your personal to-do list across all events and accounts.
Tip: Add a Tasks dashboard widget configured to show only your incomplete tasks due this week for a quick daily overview.
Tip: When working on a specific event, use the event's Tasks tab rather than the global list to stay focused on what's relevant.

Frequently Asked Questions

Q: Why don't I see certain tasks in the list?

Check your active filters. If a filter is applied (e.g. showing only "Incomplete" tasks), tasks that don't match will be hidden. Clear all filters to see everything.

Q: Can I see tasks from all teams?

Yes, the global tasks list shows tasks from all teams by default. Use the Team filter if you want to narrow it down to a specific team.

Q: How do I find overdue tasks?

Filter the tasks list by Status: Incomplete and sort by Due Date ascending. Tasks with past due dates will appear at the top.
