Media and File Attachments
You can upload and manage files and images on events, accounts, and contacts. Whether you need to store contracts, floor plans, photos, or any other documents, the media feature keeps everything organised alongside the relevant record.
Getting There
Media and file attachments are accessible from the Media tab on:
- Events — Open an event and click the Media tab.
- Accounts — Open an account and click the Media tab.
- Contacts — Open an account, select a contact, and access their media.
Overview
The media tab shows all uploaded files in a table with the following columns:

Each row also has edit and delete buttons.
How To...
Upload Files
- Navigate to the Media tab on an event, account, or contact.
- Click Upload.
- The upload page uses a drag-and-drop area:
- Files are uploaded automatically as you add them.
- Once the upload completes, navigate back to the media list to see your files.
You can upload any file type — images, PDFs, spreadsheets, Word documents, and more. There is no restriction on file formats.
Tip: You can drag multiple files at once onto the upload area to upload them in one go.
Download a File
Click on the file's Name in the media list to download it directly to your computer.
Rename a File
The display name of a file can be changed without affecting the original filename:
- Click the edit button (pencil icon) next to the file.
- Enter a new name in the dialog.
- Click Save.
This is useful when the original filename is unclear or when you want to give files descriptive names (e.g. renaming "IMG_20250315.jpg" to "Venue Main Hall Photo").
Delete a File
- Click the delete button (X icon) next to the file.
- Confirm the deletion in the dialog.
Warning: Deleted files cannot be recovered. Make sure you have a backup if you still need the file.
Working with Images
When you upload images, EventWorks automatically processes them for optimal viewing. Images are resized to a maximum of 2048 x 2048 pixels (GIFs are kept at their original size).
Images can be served at different sizes depending on where they're used:

You don't need to choose a size — EventWorks automatically selects the appropriate size based on where the image is displayed.
Where Files Can Be Attached

Each record maintains its own independent collection of files. Uploading a file to an event does not affect the files on an account, and vice versa.
Tips & Best Practices
Tip: Rename files after uploading to use clear, descriptive names. This makes it much easier for your team to find the right file later.
Tip: Upload important event documents (contracts, floor plans, technical riders) to the event's Media tab so they're always available to the team without searching through emails.
Tip: Use the media tab on accounts to store ongoing relationship documents like contracts, NDAs, or branding guidelines that aren't specific to a single event.
Frequently Asked Questions
Q: Is there a file size limit for uploads?The maximum file size depends on your server configuration. If you encounter an error when uploading a large file, contact your administrator.
Q: What file types can I upload?You can upload any file type. There are no restrictions on file formats.
Q: Can I upload multiple files at once?Yes. Drag multiple files onto the upload area, or select multiple files in the file picker. Each file will be uploaded automatically.
Q: Can I move a file from one event to another?There is no built-in move function. To transfer a file, download it from the original record and upload it to the new one.
Q: Who can see the files I upload?All team members who have access to the event, account, or contact can see and download the attached files.
Q: Are uploaded files secure?Yes. Files are stored securely and can only be accessed by authenticated users who have access to the parent record. Some files may also be encrypted at rest, depending on your account configuration.
