Pricing & Billable Users
Your EventWorks subscription is priced per active user, on a tiered model. The Billing page shows your current tier prices, how many users you have today, and how much your current month is projected to cost.

Go to Settings > Billing and scroll to the pricing panel beneath the Payment method section.
How Pricing Works
EventWorks uses a two-tier price-per-user model:

|---|---|
| First N users | A fixed price per user for the first block of users on your plan. |
| Additional users | A (typically lower) price per user for every user beyond the first block. |
Both prices and the size of the first tier are set by your contract. They're shown on the Billing page as First X users and Additional users, each with a monthly price per user.
Note: All prices shown on the Billing page are exclusive of VAT. VAT is added (where applicable) when your invoice is generated.
Who Counts as a Billable User
Every active user on your account counts towards your bill. Deactivated users — those who can no longer log in — are excluded.
The Current active users figure on the Billing page is a live count of your billable users. Click the number to open the user list filtered to just those users.
Tip: To reduce your billable user count, deactivate users who no longer need access rather than deleting them — deactivation preserves their history while removing them from the billable count. See Managing Users.
Current and Predicted Monthly Usage
The bottom row of the pricing panel shows:
- Current month usage to date — what you've accrued so far this month, based on the daily user count up to today. Because EventWorks bills on average daily users (not just today's count), this figure increases gradually through the month.
- Predicted current month usage — an estimate of what the full month will cost, based on actual usage so far plus your current user count applied to the remaining days.
Both figures are shown in GBP and exclude VAT.
Note: Adding or removing users mid-month is prorated automatically — you only pay for users on the days they were active. That's why the predicted figure can change as you make changes throughout the month.
Contract Minimums
If your contract includes a minimum user count for a fixed period, you'll be charged for the higher of either your average daily users or the contract minimum — whichever is greater for that month.
Contract terms aren't shown on the Billing page, but the Current month usage to date figure already takes any minimum into account.
Viewing Daily Usage Counts
To see the daily user counts that make up a billed month:
- Go to Settings > Billing
- Scroll to History
- Find the invoice you want and click View usage
This opens a per-day table of how many billable licences were active each day, plus the monthly average. See Invoices & Payment History for more.
Frequently Asked Questions
Q: I deactivated a user yesterday — why are they still on my bill?You only pay for them up to the day they were deactivated. The full impact appears once that day is included in the average — the predicted figure on the Billing page will reflect the change immediately.
Q: Why is the current month figure smaller than I expected?The figure shown is month-to-date, not the full month. As more days pass, the figure grows. The Predicted figure is the better indicator of where the full month will land.
Q: Do deactivated users count?No — deactivated users are excluded from billable counts.
Q: How are users counted across multiple accounts in a group?If your account is part of a billing group and a user appears on more than one account, they're only billed once. You decide which account they're billed to — see Account Groups & Shared Users.
